How outsourcing admin helped this successful business thrive

As business boomed for in-demand LinkedIn coach Sarah, owner of Sarah Clay Social, she needed an extra pair of hands to handle the admin for the business. The Hour Hands’ virtual PAs were ready to jump, quickly learning the in-house systems and making a real difference to this fast-paced business. These experienced personal assistants supported Sarah with welcoming new clients, booking appointments, and managing all related administration. At the end of this interim appointment, an internal team member took over the tasks leaving one very happy, and busy, social coach.

The Client

This successful coach delivers LinkedIn training sessions for a range of clients including business owners, solopreneurs and freelancers. Based in London, Sarah helps her clients to attract new business, build relationships, and ultimately convert contacts into loyal clients through this very powerful marketing tool.  

The Admin Challenge

After tapping into a new market, Sarah’s email inbox was bursting with new client enquiries. Her time was continuously in demand with no space for admin despite her inbox being packed full with opportunities and referrals. Sarah needed help to streamline her processes and manage appointments whilst she concentrated on delivering first class advice and guidance.

The Solution – outsourced admin support

Working virtually, the Hour Hands personal assistants quickly embraced the process for managing new clients. The team answered emails, scheduled appointments via Calendly on zoom, and completed supporting documentation using the Google suite of apps. They added opportunities to the Asana work management tool so Sarah always knew the current status of all new enquiries. 

Communicating via WhatsApp, as well as email and calls, the PAs also organised her different email inboxes. Emails were sorted into folders and important messages flagged for follow up.  

The Result

Hour Hands quickly fulfilled this interim personal assistant role. They refined existing processes, focused on ensuring that clients felt valued and capturing all new business opportunities. Three months later an internal team member seamlessly took over the processes from the Hour Hands team.
