Behind the scenes – how team meetings bring us together
In this fast-paced world, it’s easy to get caught up in individual to-do lists, project deadlines, and emails. But one of our team successes has always been something simple yet powerful: our team meetings.
These meetings aren’t just calendar fillers. They’re where we share ideas, align goals, swap stories, and strengthen our team work.
We all really look forward to them – whether they’re online or in person. Honestly, we do!
Driven by purpose, not routine
We always make sure that there’s a purpose for every meeting we hold and we definitely don’t meet for the sake of meeting. Each month’s meeting is thoughtfully planned to keep us aligned, inspired, and moving forward. We also schedule team days – time out of the office doing something different, that helps us to bond and learn new skills.
Here at Hour Hands we enjoy:
- Weekly check-ins. A quick pulse check on our priorities, progress, and roadblocks. We celebrate wins and support each other through challenges. These tend to be departmental catch ups allowing us to discuss and focus on individual clients.
- Monthly deep dives. These sessions focus on the business and its current status and the team – finding out more about each other.
- Project huddles. Short, focused ‘standup’ meetings that keep cross-functional projects moving smoothly and transparently. So the PA team meets with the bookkeeping team, for example, to ensure that we’re aligned and delivering the best service for our clients.
- Regular team days. When we get out of the office and meet in a more relaxed location. We may talk business, we may exercise together or we may learn something new. We also invite speakers into the office to talk about anything from health to wellbeing, business strategy to photography!
What makes our meetings work
Here’s what sets our meetings apart.
• Clear agenda. Everyone comes prepared, knowing what to expect. This helps us stay focused and respectful of each other’s time.
• Open communication. Every voice matters. We encourage questions, feedback, and honest conversations—even (especially) when it’s hard.
• A bit of fun. Laughter is always welcome and we’re particularly good at making each other laugh! Whether it’s a random trivia icebreaker or someone’s cat making a cameo on camera, we do like to have a laugh together.
• Follow-ups that matter. Action items don’t just vanish into the void. We keep things accountable – but avoid micromanagement!
More than just work
Perhaps the best thing about our team meetings is that they’re a reminder: behind every project and every goal is a group of real people who want to work together, who are dedicated to what they do and most importantly, are human. These meetings help us stay connected, even when we’re not in the same room. This is super important for a small business.
We also LOVE food. Everything above happens and revolves around food. We like to use local businesses, whether that’s on the high street celebrating team milestones at a local independent Italian restaurant or using a local caterer to drop off treats to the office. We believe we are most productive when sampling various cuisines! (That’s our excuse and we’re sticking to it!)
Final thoughts
In a remote and hybrid world, meaningful communication is more important than ever. Our team meetings are more than calendar events – they’re the glue that keeps the Hour Hands culture strong and our work moving forward.
